SUPPLY, DELIVERY, INSTALLATION, TESTING AND COMMISSIONING OF INTERPRETATION EQUIPMENT
1. The SADC RPTC invites companies to provide the following.
More details on the goods are provided in the attached bidding document.
Bidders must quote for all items in a Lot, and the total price should be expressed per Lot, failure to which it will result into automatic disqualification.
2. The Bidding Documents have been allocated into 1 Lot
3. Your submission should include:
Proof that the reseller has supplied interpretation equipment within the last two (2) years.
4. Your submission, in the PDF Format f (See Annex 2 to this RFB), should be submitted to the following link: https://collab.sadc.int/s/qNadP95i6nRrtkJ bearing the subject title, Supply, Delivery, Installation, testing and commissioning of interpretation equipment. Ref: SADC/RPTC/05/10/2025

5. The deadline for submission of your quotations, to the address above is 28th November 2025, Midnight. Late submissions will not be considered.
6. All bids should be submitted to the following link https://collab.sadc.int/s/qNadP95i6nRrtkJ and quotations by fax will NOT be accepted.
7. Your bid(s) should be submitted as per the following instructions, and in accordance with the Terms and Conditions of the Standard Purchase Order.:
i. PRICES: The prices should be quoted Delivered Duty Paid (DDP) (as per Incoterms 2020) in USD, including all duties attached to the sale (such as VAT, customs duties, etc.) and transport to the final destination.
ii. EVALUATION AND AWARD OF PURCHASE ORDER: Bids determined to be administratively (see Paragraph 2, 3, 4, 5,6 and 7) and technically compliant to the requirements will be evaluated by comparison of their prices (defined as above). The award will be made to the bidder offering an administrative and technical compliant quotation at the lowest evaluated total price.
iii. VALIDITY OF THE OFFER: Your quotation should be valid for a period of 120 days from the date of submission of quotation.
DOCUMENTS TO BE ATTACHED: Certificate of Incorporation/Registration, Valid Tax Clearance Certificate. Manufacturers Authorisation or Partner Certificate, Copies of successfully completed contracts for the supply and delivery of interpretation equipment and Purchase Orders of at least USD30,000.00 supplied within the last two years Failure to provide these documents will result in automatic disqualification. Proof in the form of copies of successfully completed contracts and or Purchase Orders.
iv. Delivery time: Bidders must indicate delivery period.
v. 1 year warranty
8. The items are expected to be delivered at the address indicated in the Paragraph 3 above within 14 Calendar days from the signature of the Purchase Order/Contract. The terms and conditions of the Purchase Order are available on request prior to submission of quotations.
