Dear Sir/Madam

RE: THE PROVISION OF RAPPORTEUR SERVICES FOR SADC IN TANZANIA

We kindly request you to submit your quotation for “The Production of Rapporteur services for SADC in Tanzania during industrialization week conference as per the specifications in the table below:

Description Duration

Industrialisation week in Tanzania;

  • Ensure the plenary and parallel sessions discussions are captured in the report;
  • Together with NBF, develop a conference declaration from the report and preparing it for presentation at the Council of Ministers and Captains of Industry interactions at the SADC Summit in August 2019; and

Produce final report of the meeting.

The firm should deploy 5 employees to service the conference.

2.1 Qualification criteria

Qualifications and Experience

Must have Degree in linguistics or related field plus 5 years’ experience in writing reports

Master’s degree will be an added advantage.

Specific

Must have experience in providing services to international organizations similar to SADC.

Regional Experience

Experience in providing similar service in SADC region

2. You must quote for all services described above.

Your quotation, in the required format (See Annex 2 to this RFQ), should be submitted and be send by email to the following email : Industrializationw3@sadc.int

Note: Include all relevant documentation such as Certificate of Incorporation, Trading Licence, Tax Clearance Certificate, PPADB Certificate, Banking details and company profile in case of firm/company.

Applications must be submitted to the address indicated in Paragraph 3 above, on the specified date and time indicated below.

Your quotation should be submitted as per the following instructions and in accordance with the Terms and Conditions of the Standard Purchase Order for SADC which is available on request.

(i)  PRICES: The Costs should be quoted in the local currency, including all duties attached to the sale of the services (such as VAT, customs duties, etc)

(ii)  EVALUATION AND AWARD OF PURCHASE ORDER: Quotations determined to be administrative (see Paragraph 2,3,4,5 and 6) and technically compliant to the requirements will be evaluated by comparison of their Costs per item (defined as above). The award will be made to the bidder offering an administratively and technically compliant quotation at the lowest total Cost.

(iv) VALIDITY OF THE OFFER: Your quotation should be valid for a period of 90 days from the date of deadline for submission of quotation indicated in Paragraph 4 above.

Ensure the reports are produced timely.

Additional information and clarifications can be requested in writing, no later than 5 working days prior to deadline indicated in the paragraph 4 above, from:
